Generating statistics report for sales orders

Introduction

This screen allows you to search and generate sales statistics report of each item sold.

Description

You can filter the sales statistics that you want to display by defining your search criteria and clicking Display. The statistics that match the search criteria you have defined are then displayed. A list of options appears if you click the Browse button in the Warehouse, Debtor, and other boxes. From the list, make your selection and click Select.

Note: Only the General and Display sections are available for the Simple mode. If you click Advanced, the search criteria will be expanded to include the Item, Assortments, and Report options sections.

General section

Warehouse

Type or select the warehouse to display the sales statistics of items ordered with the selected warehouse. You can also leave this box empty to display the sales statistics of the items with any warehouse.

Note: This box is only available only if you have E-Warehouse Management in your license.

Reference date

Type or select the reference date to display the sales statistics until the date entered in the box. For example, if the reference date is 01/12/2005, the sales statistics will display all the items that were created in the sales orders on 01/12/2005 and before 01/12/2005. You can also select the All check box to display the sales statistics with any reference date. By default, the All check box is selected.

Transaction date

Type or select the transaction date or transaction date range to display the sales statistics of the items with transaction dates within the selected period. You can also select the All check box to display the sales statistics with any transaction dates. By default, the All check box is selected.

Note: Typing or selecting only the start date will display the sales statistics of the items with the selected transaction date and later dates. Typing or selecting only the end date will display the sales statistics of the items with the selected date and earlier dates.

Debtor

Type or select the ID or name of the debtor who placed the sales order to display the sales statistics of the selected debtor. You can also leave this box empty to display the sales statistics with any debtor.

G/L account

Type or select the general ledger account number or general ledger account number range to display the sales statistics with the selected general ledger account number(s). You can also select the All check box to display the sales statistics with any general account number. By default, the All check box is selected.

Resource

Type or select the resource in charge of the sales order to display the sales statistics with the selected resource. You can also select the All check box to display the sales statistics with any resource.

Display section

Details

Select how you want the report to be displayed. You can select one or more of the following:

Warehouse -- Select this check box to display the Warehouse column in the report, and display each item group by the warehouse (for example, item A is available in Warehouse A with 2 units and in Warehouse B with 5 units. If this check box is selected, the Warehouse column will display Item A in Warehouse A with 2 units and Warehouse B with 5 units, otherwise 7 units will be displayed in the Warehouse column).
G/L account -- Select this check box to display the general ledger account of each item in the report.

Note: The Warehouse check box is available only if you have E-Warehouse Management in your license.

Markup % / Margin %

Select how you want to calculate the percentage cost price of the items. You can select any of the following:

Cost price -- Select this to calculate the markup percentage or margin percentage based on the cost price of the items.
Average cost -- Select this to calculate the markup percentage or margin percentage based on the average price of the items.

Note: Markup % is available only if you have selected Markup in Profit calculation at System/General/Settings, under Order settings. Margin % is available only if you have selected Margin in Profit calculation at System/General/Settings, under Order settings.

Item section

Item group

Type or select the item group or item group range to display the sales statistics of the selected item group(s). You can also select the All check box to display the sales statistics with any item group. By default, the All check box is selected.

Group by

Select the Warehouse check box to display the name and description of the warehouse in the sales statistics, and each item will be grouped by warehouse.

Status

Select the status of the items to display the sales statistics of the items with the selected status. You can select one or more of the following:

Active -- Select this check box to display the sales statistics of the items which are still active.
Blocked -- Select this check box to display the sales statistics of the items which are blocked.
Discontinued -- Select this check box to display the sales statistics of the items which are discontinued.
Inactive -- Select this check box to display the sales statistics of the items which are inactive.

Attributes

Select the attribute of the items to display the sales statistics of the items with the selected attribute. You can select one or more of the following:

Sales -- Select this check box to display the sales statistics of the items which are sale items.
Buy -- Select this check box to display the sales statistics of the items which are purchased items.
Make -- Select this check box to display the sales statistics of the items which are make items.

Assortments section

Assortment

Select the assortment to view the sales statistics of the items that are attached to the selected assortment. You can also leave the box(es) empty to display the sales statistics with any assortment. Assortments can be created at Order/Items/Assortments.

Note: The number of Assortment boxes displayed depends on the settings defined at Inventory/Items/Assortments, or System/General/Settings (under Item data settings). For example, if three assortment boxes are defined, then three assortment boxes will be displayed.

Report options section

Financial data

Select how you want the report to be displayed. You can select any of the following:

Actuals -- Select this option to display only the details of the actual transactions.
Budget -- Select this option to display only the budgeted details (created at System/Finance/Budgets)
Both -- Select this option to display both the actual and budgeted transactions for the sales statistics of the items.

Budget scenario

Type or select the budget scenario to display the sales statistics of the selected budget scenario. You can also leave this box empty to display the sales statistics with any budget scenario.

Note: This box is available only if the Budget, or Both option is selected in Financial data.

Button

Display

Click this to display the sales statistics report of the items based on the defined criteria.

Advanced / Simple

Click Advanced to expand the search criteria. You will see the Item, Assortments, and Report options sections.

Click Simple to hide the search criteria. You will only see the General and Display sections.

Close

Click this to exit.
